How to Manage Taxes

The Manage Tax feature enables retailers to create tax categories and class-based tax rates as set by a state, providence, city, etc.

This document is a resource for retailers to understand how to:
Create a Tax Rate
Edit a Tax Rate
Delete a Tax Rate
Create a Tax-Free Weekend
Delete a Tax-Free Weekend

 

 

 

CREATE A TAX RATE

Follow the steps below to create a tax category and tax rate for a store.

 

CREATE A TAX CATEGORY E.G. SALES TAX INSTANCE

1. In the RICS Back Office, navigate to Setup :: Manage Store :: Tax Setup

2. To select a store, enter or search for the store number in the Store Number field

Note: After the store is selected, a Categories window will display.

3. Click Add

Note: After Add is clicked, a New Category – Options window will display.

 

4. Enter the tax category description in the Description field (i.e., Sales Tax, City Tax or County Tax)

Note: The description will display on the RICS POS and tickets for which this tax is collected.

5. If necessary, select the Tax Coupons and Tax Frequent Buyer Rewards checkboxes

6. Click Save

Note: After the tax category is saved, the description will display in the Categories window.

7. If necessary, repeat Steps 2-6 for each additional tax category

8. After all tax categories are added, proceed to the Add a Tax Rate section

 

ADD A TAX RATE

1. Select a tax category from the Categories window

 

Note: After a tax category is selected, a Tax Rate window will display.

 

2. In the Tax Rate window, click Add

3. Select and enter the tax rate options

Required Tax Rate Options:

Start Date – Enter the date the tax rate will take effect.

Rate – Enter the tax rate percentage.

Optional Tax Rate Options:

Class Filter – Select classes to which to apply a tax rate. Skip this step if the tax rate applies to all classes.

TOT (Tax Over Threshold) – Enter a dollar amount if the tax will only apply to an item over that amount.

OTOT (Only Tax Over Threshold) – Select if only the dollar amount exceeding the TOT is taxed.

End Date – Enter the date the tax rate will end.

 

4. Click Update

Note: After Update is clicked, the tax rate(s) will display in the Tax Rate window.

Note: If a single or group of classes are selected, a row will display for each selection.

 

Note: To create additional tax rates, repeat Steps 1-4.

 

 

 

 

EDIT A TAX RATE

Follow the steps below to edit a class-based tax rate.

1. In the RICS Back Office, navigate to Setup :: Manage Store :: Tax Setup

2. To select a store, enter or search for the store number in the Store Number field

Note: After the store is selected, the current tax category will display.

 

3. In the Categories list, locate and select the tax rate description under which to edit a class-based tax rate

Note: After a tax category is selected, a Tax Rate window will display.

 

4. Click Edit next to the desired class-based tax rate

5. As needed, edit the Start Date, Rate, TOT, OTOT, and/or End Date fields

6. Click Update

 

 

 

 

DELETE A TAX RATE

Follow the steps below to delete a class-based tax rate and/or tax category.

 

DELETE A CLASS-BASED TAX RATE

1. In the RICS Back Office, navigate to Setup :: Manage Store :: Tax Setup

2. To select a store, enter or search for the store number in the Store Number field

Note: After the store is selected, the current tax category will display.

 

3. In the Categories list, locate and select the tax category under which to delete a class-based tax rate

4. Click the checkbox to the left of the tax rate(s) to be deleted

 

5. Click Delete

6. Click Yes when prompted to delete the tax rate(s)

 

DELETE A TAX CATEGORY

1. In the RICS Back Office, navigate to Setup :: Manage Store :: Tax Setup

2. To select a store, enter or search for the store number in the Store Number field

Note: After the store is selected, the current tax categories will display.

 

3. In the Categories list, locate and click the  next to the tax category to be deleted

4. Click Yes when prompted to delete the tax category

Note: The Alert will notify the user of any existing tax rates under the tax category will be deleted.

 

 

 

 

CREATE A TAX-FREE WEEKEND

Follow the steps below to create a class-based tax-free weekend. RICS recommends creating a tax-free weekend in advance to allow time for auditing and adjusting the setup as needed.

 

TAX-FREE WEEKEND WITHOUT A THRESHOLD

1. In the RICS Back Office, navigate to Setup :: Manage Store :: Tax Setup

2. To select a store, enter or search for the store number in the Store Number field

Note: After the store is selected, the current tax categories will display.

 

3. In the Categories list, locate and select the tax category under which to create a tax-free weekend

Note: After the tax category is selected, a Tax Rate window will display.

 

4. In the Tax Rate window, click Add

5. Select and enter the tax rate options

Tax Rate Options:

Start Date – Enter the tax-free weekend start date.

Rate – Leave at zero.

Class Filter – Select the classes under which to exclude a tax rate.

End Date – Enter the tax-free weekend end date.

Note: The tax-free weekend will end and revert to the current tax rate at 11:59pm on the assigned end date.

 

6. Click Update

Note: If a class or classes are selected in Step 5, a class-based tax-free rate line will display for each class.

 

 

TAX-FREE WEEKEND WITH A THRESHOLD

1. In the RICS Back Office, navigate to Setup :: Manage Store :: Tax Setup

2. To select a store, enter or search for the store number in the Store Number field

Note: After the store is selected, the current tax categories will display.

 

3. In the Categories list, locate and select the tax category under which to create a tax-free weekend

Note: After the tax category is selected, a Tax Rate window will display.

 

4. In the Tax Rate window, click Add

5. Select and enter the tax rates options

Tax Rate Options:

Start Date – Enter the tax-free weekend start date.

Rate – Enter the normal tax rate.

Class Filter – Select the classes under which to apply a tax rate.

TOT (Tax Over Threshold) – Enter the dollar amount at which tax will begin to be charged. For example, if items $100 and below are tax exempt, enter $100.

OTOT (Only Tax Over Threshold) – Click to only charge tax on the dollar amount exceeding TOT. For example, if the threshold is $100 and an item is purchased for $125, click this checkbox to only charge tax on $25 of the item cost.

End Date – Enter the tax-free weekend end date.

Note: The tax-free weekend will end and revert to the current tax rate at 11:59pm on the assigned end date.

 

6. Click Update

Note: If a class or classes are selected in Step 5, a class-based tax-free rate line will display for each class.

 

 

 

 

DELETE A TAX-FREE WEEKEND

Follow the steps below to delete a tax-free weekend.

1. In the RICS Back Office, navigate to Setup :: Manage Store :: Tax Setup

2. To select a store, enter or search for the store number in the Store Number field

Note: After the store is selected, the current tax categories will display.

3. In the Categories list, locate and select the tax category under which to delete a class-based tax rate

4. Click the checkbox to the left of the tax rate(s) to be deleted

 

5. Click Delete

6. Click Yes when prompted to delete the tax rate(s)
