How to Manage Automated Transfer Orders

The Manage Automated Transfer Order feature enables retailers to generate a transfer order based on pre-defined product models to distribute inventory between multi-store locations. Generating an automated transfer order allows retailers to keep an ideal on-hand quantity in a store to help prevent lost sales.

Note: The Manage Automated Transfer Order feature is best used at a warehouse location. To distribute inventory between multi-store locations, RICS recommends the Manage Balancing Transfer Order feature.

GENERATE AN AUTOMATED TRANSFER ORDER
Below are the steps to generate an automated transfer order.

OPTIONS TAB

1. In the RICS Back Office, go to Inventory :: Stock Transfer :: Generate Automatic Transfer

2. To select the store sending the transfer, enter or search for the store in the From Store field

3. To select the store receiving the transfer, enter or search for the store in the To Store field

Note: If selecting multiple receiving stores, separate the values by commas.

CRITERIA TAB

1. Click the Criteria tab

Note: To generate an automated transfer for all items with a model stock within a store, leave the Report Criteria fields blank and proceed to Step 3.

2. Select and enter the necessary criteria to determine what items to generate on an automated transfer. Multiple criteria options can be selected to narrow down a search

Options:

By Supplier – Enter or search for a supplier code(s) to determine which supplier(s) to output.

By Class – From the dropdown menu, select the class or classes to determine which class to output.

By Location – If set up within the store, enter a location code(s) to determine which location(s) to output.

By SKU – Enter or search for an item(s) to determine which item(s) to output.

Product Custom Entries – If set up within the store, enter a custom entry or entries to determine which custom entry to output.

Note: If selecting multiple Suppliers, Locations, SKUs or Product Custom Entries, separate the values by commas. To exclude the selected value(s), select the checkbox next to Exc.

3. Click Preview to generate a PDF preview of what will be transferred via the automated transfer order

Note: If the preview is accurate, close the preview to generate the automated transfer order.

4. Click Generate Automatic Transfer

Note: To complete and ship the transfer order to the receiving store, proceed to Complete and Ship an Automatic Transfer Order. If the transfer order will be completed and shipped at a later time, click Generate and Make Visible to All Users to allow the transfer order to be accessed in the future.

 


EDIT AN AUTOMATED TRANSFER ORDER
Follow the steps below to edit an automated transfer order prior to completing and shipping the order.

1. In the RICS Back Office, go to Inventory :: Stock Transfers :: Enter Manual Transfer

2. To select a transfer order, enter or search for the transfer order number in the Transfer Order # LookUp field

Note: After the transfer order is selected, the transfer order details will populate.

3. Edit the necessary fields on the Transfer Order Header, SKU Detail, Scanning and/or Upload tabs

4. Click Save TO

 


COMPLETE AND SHIP AN AUTOMATED TRANSFER ORDER
Follow the steps below to complete and ship an automated transfer order.

1. In the RICS Back Office, go to Inventory :: Stock Transfer :: Enter Manual Transfer

2. To select a transfer order enter or search for the transfer order number in the Transfer Order # LookUp field

Note: After the transfer order is selected, the transfer order details will populate.

3. Click Complete (Ship Order)

 


DELETE AN AUTOMATED TRANSFER ORDER
Follow the steps below to delete an automated transfer order prior to completing and shipping the order.

1. In the RICS Back Office, go to Inventory :: Stock Transfers :: Enter Manual Transfer

2. To select a transfer order, enter or search for the transfer order number in the Transfer Order # LookUp field

Note: After the transfer order is selected, the transfer order details will populate.

3. Click Delete TO

4. Click Yes when prompted to delete a transfer order
