How to Manage Non-Sellable Inventory

The Non-Sellable Inventory feature enables retailers to remove items from on-hand inventory to be placed in a quarantined inventory separate from a store’s available inventory. Placing items in a quarantined non-sellable inventory allows retailers to accurately track and analyze inventory transactions as they occur through the RICS Back Office.

CREATE A NON-SELLABLE BATCH
Follow the steps below to create a non-sellable batch.

1. In the RICS Back Office, go to Inventory :: Non-Sellable :: (RMA) Manage Non-Sellable Batch at the Store level

2. If necessary, edit the automatically generated batch name in the Batch Name field

3. Use the Type dropdown menu to select the type of non-sellable batch to create

Options:

Return to Supplier – Select to create a non-sellable batch for items to be returned to a supplier.

Discard – Select to create a non-sellable batch for items that will be thrown out.

Donate – Select to create a non-sellable batch for items that will be donated to a charity or a non-profit organization.

Shrinkage – Select to create a non-sellable batch for items missing from inventory due to theft.

Sell to Store Owner – Select to create a non-sellable batch for items sold to another store outside of the organizational structure.

Sell on Secondary Market – Select to create a non-sellable batch for items sold on a secondary market such as eBay or consignment.

4. If the information is available, enter the appropriate values in the following optional fields based on the batch type

Options:

Supplier – Enter the supplier code associated with the non-sellable inventory.

RMA Number – Enter the return merchandise authorization number provided by the supplier.

Value Received – Enter the dollar value received from the supplier, charity, eBay customer, etc.

Recipient – Enter the charity, organization, eBay customer, etc.

5. If necessary, enter a comment to be associated with the non-sellable batch

6. Select the checkbox next to the item(s) to be moved to a pending non-sellable batch

7. Click Move to Pending

Note: If the item(s) were moved to the Pending Inventory on Batch section in error, select the checkbox next to the item(s) to be removed from pending inventory and click Move to Current Non-Sellable.

8. If necessary, add items to the pending non-sellable batch via the Add From On Hand option and follow the steps in Add Items to Non-Sellable Inventory section.

9. Click Save Pending and Continue

10. Click Print Pending Batch

Note: To complete the non-sellable batch, proceed to Step 11. If the non-sellable batch will be completed at a later time, click Save Pending and Continue in order for the non-sellable batch to be accessed in the future.

11. Click Complete Batch

 


EDIT A NON-SELLABLE BATCH
Follow the steps below to edit a pending non-sellable batch.

1. In the RICS Back Office, go to Inventory :: Non-Sellable :: (RMA) Manage Non-Sellable Batch at the Store level

2. To select a pending non-sellable batch, enter or search for the batch name or RMA number in the corresponding lookup field

Note: After the pending non-sellable batch is selected, the batch details will load.

3. As needed, edit the fields in the Remove From Non-Sellable (RMA) Header Info section

Note: To add items to the pending non-sellable batch, repeat Steps 6-9 of the Create a Non-Sellable Batch section.

4. Click Print Pending Batch

Note: To complete the non-sellable batch, proceed to Step 5. If the non-sellable batch will be completed at a later time, click Save Pending and Continue in order for the non-sellable batch to be accessed in the future.

5. Click Complete Batch

 


DELETE A NON-SELLABLE BATCH
Follow the steps below to delete a pending non-sellable batch.

1. In the RICS Back Office, go to Inventory :: Non-Sellable :: (RMA) Manage Non-Sellable Batch at the store level in which the pending batch exists

2. To select a pending non-sellable batch, enter or search for the batch name or RMA number in the corresponding lookup field

Note: After the pending non-sellable batch is selected, the batch details will populate.

3. Click Delete Pending Batch

4. Click OK when prompted to delete the pending batch

 


ADD ITEMS TO NON-SELLABLE INVENTORY
Follow the steps below to add items to non-sellable inventory.

ENTER BY UPC

1. In the RICS Back Office, go to Inventory :: Non-Sellable :: Add To Non-Sellable at the Store level

2. Click the UPC option in the Enter By section

3. Scan the UPC of the item to be added to non-sellable inventory

4. If necessary, adjust the quantity being added to non-sellable inventory in the Add Qty field

5. Select the return code reason from the Return Code dropdown menu

6. If necessary, enter a comment to associate with the item in the Comment field

7. Click Add

8. Repeat Steps 3-7 to add additional items to non-sellable inventory

Note: All scanned items will be added to the Product Entry List but will not be added to non-sellable inventory until Step 9.

9. Click Remove from Inventory

ENTER BY SKU

1. In the RICS Back Office, go to Inventory :: Non-Sellable Inventory :: Add To Non-Sellable at the Store level

2. Click the SKU option in the Enter By section

3. To select a SKU, enter or search for the SKU to be added to non-sellable inventory in the SKU LookUp field

4. Select the size and/or width of the item from the COL and ROW dropdown menus

5. If necessary, adjust the quantity being added to non-sellable inventory in the Add Qty field

6. Select the return code reason from the Return Code dropdown menu

7. If necessary, enter a comment to associate with the item in the Comment field

8. Click Add

9. Repeat Steps 3-8 to add additional items to non-sellable inventory

Note: All entered items will be added to the Product Entry List but will not be added to non-sellable inventory until Step 10.

10. Click Remove from Inventory

 


MOVE NON-SELLABLE ITEMS BACK TO ON HAND
Follow the steps below to move non-sellable items back to available on-hand inventory.

1. In the RICS Back Office, go to Inventory :: Non-Sellable :: Move Back To On Hand

Note: All items in non-sellable inventory will automatically display upon loading the screen.

2. Select the checkbox next to the item(s) to be moved back to on hand in the Current Non-Sellable Inventory section

3. Click Move Back to On Hand

4. If necessary, adjust the non-sellable quantity in the NS field in the Pending Inventory to Move Back to On Hand section

5. Click Save

 


TRANSFER A NON-SELLABLE ITEM (MULTI-STORE)
Follow the steps below to transfer non-sellable items from one inventory location to another within an organizational structure.

1. In the RICS Back Office, go to Inventory :: Non-Sellable :: Transfer Non-Sellable

Note: All items in non-sellable inventory will automatically display upon loading the screen.

 

2. Select the checkbox next to the item(s) to be transferred

3. If necessary, adjust the transfer quantity in the Qty field

4. Select which store will receive the non-sellable inventory from the Move Non-Sellable Items to This Store dropdown menu

5. Click Complete and Ship

6. Click OK when prompted to transfer the non-sellable inventory

Note: To view or print a non-sellable transfer pick list, navigate to Reporting :: Report History and click on the Non-Sellable Transfer Pick List.

 

 


CHANGE A COMPLETED RETURN
Follow the steps below to change a completed non-sellable batch.

1. In the RICS Back Office, go to Inventory :: Non-Sellable :: Change Completed Return

2. To select a completed non-sellable batch, enter or search for the batch name or RMA number in the corresponding lookup field

Note: After the non-sellable batch is selected, the batch details will populate.

3. As needed, edit the RMA Number, Received Value and/or Comment fields

4. Click Save

 


UNSHIP A COMPLETED RETURN
Follow the steps below to unship a completed non-sellable batch to move the items back to a pending non-sellable batch or non-sellable inventory.

1. In the RICS Back Office, go to Inventory :: Non-Sellable :: UnShip Completed Return

2. To select a completed non-sellable batch, enter or search for the batch name or RMA number in the corresponding lookup field

Note: After the non-sellable batch is selected, the batch details will populate.

3. If necessary, enter a comment in the Void Comments field

4. Click UnShip Completed Return

5. Click the appropriate option when prompted to unship a completed return

Options:

Move RMA Back to Pending – Click to move an unshipped return back to Manage Non-Sellable in order to add items or edit a batch.

Move Items Back to Non-Sellable – Click to move items on an unshipped return back to Non-Sellable to create a new batch.
